01 — The challenge

What needed to change.

Some operational KPIs required three or four property-management reports, followed by calculations in Excel or on a calculator. The existing warehouse reported yesterday’s data, limiting visibility into current portfolio performance.

02 — The solution

A system built for the work.

1Guy.ai built a reporting platform using custom Python services and Power BI. It brings client-specific occupancy, collections, delinquency, and leasing metrics into a shared interface for employees and clients.

The platform checks for new data every five minutes and processes the portfolio in five seconds or less. Regional comparisons show how portfolios managed by regional vice presidents and regional managers perform against their counterparts.

Portfolio Intelligence gives approximately 400 people access to the figures that guide operations across 15,000 apartment units. Teams can review the aggregates they need without repeatedly assembling them from separate reports.

Inside the system / Data processing

Software architecture.

A scheduled Python processor combines source-system data with prior-month records, then publishes KPI snapshots for Power BI reporting.

Portfolio Intelligence software architecture: RealPage SOAP and REST APIs feed parallel Python collection and enrichment. cron schedules runs every five minutes. DiskCache reuses reference data, while cold runs read prior-month values from Dataverse. Bulk writes publish snapshots through future, present, and past states. Power BI uses DirectQuery for current snapshots and Import for comparison data, with Power Query and DAX.
Parallel collection and cached enrichment reduce repeated work. Snapshot publication separates data preparation from the reporting view.

Inside the system / Processing and reporting

Infrastructure.

Linux hosts run the packaged processor. Dataverse holds reporting data, Power BI serves employees and clients, and success heartbeats support operational monitoring.

Portfolio Intelligence infrastructure: cron runs a PyInstaller-packaged Python processor on a Linux production host with local cache and logs. The processor receives RealPage API data, authenticates through Microsoft Entra ID, writes to Dataverse, and sends success heartbeats to UptimeRobot. Power BI reads Dataverse through DirectQuery and Import to serve employees and clients. A separate Linux test host is shown.
